Each payment with VAT
Each Brippo payment posted to Xero with the VAT your store charged, with Brippo fees and payouts recorded separately, so your bank feed reconciles line by line.
Requirements
- ✓A Xero organisation connected to Brippo. See Connecting Brippo with Xero.
- ✓Brippo Payments for Magento 2, 101.0.43 or later, with Send VAT Breakdown switched on under Stores → Configuration → Sales → Payment Methods → Brippo → General. This is what sends the VAT of each payment.
- ✓A Brippo user with full access.
- 1
Choose Each payment with VAT
In the Brippo Portal go to Settings → Integrations and open Xero. Under How Brippo posts, choose Each payment with VAT.
- 2
Review the setup
Brippo suggests accounts and VAT rates from your Xero organisation. Check them and click Save setup.
- Brippo account — the Brippo Limited bank account (code 3200), where every payment, fee and refund is posted. Create it from the page if you don't have it, and keep it without a bank feed.
- Payouts — the bank account your payouts arrive in.
- Sales — the accounts for sales, shipping and promotions.
- VAT — the Xero rate for each rate your store charges, and the rate for sales with no VAT.
- Brippo fees — the account and VAT rate for fees, one entry per payout or per payment.
- Posting — when payments are posted (when their payout arrives, or daily, the day after each payment), what happens to payments without VAT details or in another currency, and whether you approve each entry before it's posted.
- Start date — payments from this day on are posted.
- 3
Preview a payout
Click Preview a payout to see each entry as Xero will show it, for any of your latest payouts. Nothing is posted.
- 4
Switch posting on
Under Posting to Xero, switch Post to Xero on. Nothing is sent to Xero until you do.
From then on Brippo posts every hour: each payout that arrives from your start date on, and the payments it held once their VAT details arrive. Switch it off at any time to stop posting. Entries already in Xero stay there.
What Brippo posts
| In Brippo | In Xero |
|---|---|
| Payment | Receive Money into the Brippo Limited account, for the amount paid, with the VAT of each rate. |
| Brippo fee | Spend Money from the Brippo Limited account, on your fees account. |
| Refund or chargeback | Spend Money from the Brippo Limited account that reverses the sale and its VAT. |
| Payout | Bank Transfer from the Brippo Limited account to your payout account, matching your bank feed. |
Every entry is made with the Brippo Limited contact. Its reference names the order or the payout, followed by Brippo's key for the entry in brackets.
Posting activity
Under the switch, Brippo shows when it last posted and what that run did, and the latest entries with their status.
| Status | What it means |
|---|---|
| Posted | The entry is in Xero. |
| Awaiting review | Planned, and waiting for you to approve it, if you chose to approve each entry first. Click Approve on the entry, or Approve all; Brippo posts it on the next run. An entry that changes after you approved it, for example when its VAT details arrive, waits for you again. |
| Pending | Waiting for its posting date: the day its payout arrives, or the day after the payment if you post payments daily. |
| Held | Not posted, with the reason. A payment without VAT details from your store is held until they arrive; Brippo checks held payments again on every run for 30 days. |
| Failed | Xero refused the entry, with Xero's reason. Brippo tries again on the next runs, up to four attempts, and the Brippo team is notified. |
| Checking | Xero did not answer in time. Brippo checks whether the entry arrived before it sends it again, so nothing is posted twice. |
| Not posted | Left out on purpose, for example a payment made before your start date. |
Approving entries
If you would rather see each entry before it reaches Xero, choose Let me approve each entry first under Posting in the setup. Brippo still plans every payout every hour, but posts only the entries you approve. Entries waiting for you are marked Awaiting review under Posting to Xero, with Approve on each and Approve all. Choose Post each entry automatically again to post everything waiting.
Post now
Post now runs a posting run straight away instead of waiting for the next hour, for example after you changed a setting that a failed entry needed. It is available while posting is on.
Going back to the monthly summary
Under How Brippo posts, choose Monthly payout summary. Posting each payment stops and its switch turns off. Entries already in Xero stay there, and the monthly sync runs on the 1st again if Run the monthly sync is on.
